March 30, 2021 Board Meeting

Bayside Acres Neighborhood Association (BANA) Board Meeting Minutes; March 30, 2021 @ 5:09 PM PST via Zoom.

Board Members Present: Laurie Favaro (attended the first 10 minutes), Julia Glenister, Ogden Hamilton (attended the first 30 minutes), Bob Lenz, Alan Schaevitz, David Tattersall, Joe Tyszkiewicz Absent: Scott Gerber, Abbie Urban Quorum Present

Proceedings:

  • Meeting called to order at 5:09 PM
  • Minutes for the March 26 2021 “Annual Meeting” Former Secretary Stuart Brown’s Meeting Minutes summarizing the mail-in ballot results were approved. Bob Lenz moved to approve the minutes. David seconded. Everyone voted in favor.
  • Board Members Elected 
    • Three recently-elected members to the Board were recognized and welcomed. Alan Schaevitz/Bayview Drive and David Tattersall/Beach Drive are repeat members, Scott Gerber/Manzanita Drive replaces outgoing Stuart Brown for the Main/Manzanita area. 
      • Laurie moved to approve the new members. Alan seconded the motion. All present voted in favor.
  • BAHOA Name Change to Bayside Acres Neighborhood Association (BANA):
    • The March Ballot resolution to change the name of Bayside Acres Home Owners Association (BAHOA) to Bayside Acres Neighborhood Association (BANA) was formally approved.
      • Laurie Favaro moved to approve the name change ballot resolution. Alan seconded the motion. All present voted in favor.
  • Election of Board Officers
    • Treasurer: David said we will assume that Abbie Urban will continue as Treasurer.
    • Secretary:
      • David called for volunteers for the job of Secretary. He noted that former Board Secretary Stuart Brown’s responsibilities had included taking the minutes for each meeting, coordinating the Board election process, and dues collection when money was sent to him (rather than the Treasurer). 
      • It was decided to split the secretary’s tasks for the coming year.
      • Alan said that he would be willing to maintain the Membership Directory because it is integral to his distribution of email correspondences through MailChimp. He said he and Stuart have been working on a revision of the Excel document to specify the names of the owners of parcels and tenants. The revision of the directory will mean that Alan won’t have to manually enter email addresses. He will also be able to send correspondences to members rather than the entire neighborhood list. Moving forward, the Secretary and/or the Treasurer can notify Alan of new members, and he will update the Membership Directory.
      • Bob said he will assume coordination of future elections. 
      • Alan noted that the new Secretary’s tasks this year will be to take the minutes.
      • Laurie said she is willing to help take minutes.
      • Julia agreed to take on the new Secretary role.
    • Vice President: Everyone agreed that Alan should assume this position in addition to his responsibility as Webmaster.
    • President: Everyone agreed that David should continue in this role. 
      • Joe made a motion that David and the rest of the officers be voted in; Ogden seconded it, and everyone was in favor.
    • Annual Summer Party: David said we don’t yet know where we will be with the Covid situation in late August. The Marina Yacht Club inside/outside was mentioned as a possible venue, but Alan noted that the Harbormaster’s building may be under construction at that time so it may not be feasible. Bob suggested the possibility of a Block Party, perhaps at the end of Beach Drive or at the park. 
      • David Tattersall said we will probably have another meeting in late May or early June, and can decide then.
    • Live Meetings vs Zoom Meetings: It was agreed that at some point we will need to decide if we will continue with Board meetings by Zoom or meet in person. Alan suggested that we could invest in a tape-recorder to help take minutes if we have live meetings in the future. David said he thinks he still has his old dictaphone.
    • Membership in the Neighborhood Association: Alan said we should revisit BANA membership in the future. Currently membership is open to all parcel owners in the Bayside Acres Subdivision. Each member/parcel owner is entitled to one vote. The question is whether membership should be opened to permanent residents or others.
